Booking Terms & Conditions

Fees, Deposits & Payments

KulturLux Travel, LLC requires a non-refundable service fee to be paid before receiving any travel quotes.

Service Fees

​

• Groups of fewer than 10 people: $75 per person (effective July 1, 2025)

• Groups of 10 or more: $500 flat fee
   

Repeat customers may receive a discount at the owner's discretion.

​

The service fee includes:

​

• One custom travel package draft

• Up to two (2) revisions
   

Additional fees:

​

• $50: For minor changes (e.g., excursions, dates, or added travelers)

• $100: For location changes requested within 30 days of the 2nd revision
   

Trip Deposits

​

Trip deposits are non-refundable and are separate from service fees. Deposits go directly to travel vendors and are governed by their terms.

​

• Deposits vary by vendor and trip type (typically ≤ $300)

• Hosted trip deposits include the posted buy-in + first full payment

• Deposits for non-hosted trips are non-transferable

• Hosted trip deposits may be transferred within 60 days to newly announced trips
   

Payment Terms

​

• Payments are due on the 15th of each month (unless otherwise stated in your invoice)

• Late Fee: $25 for missed payments not communicated before the 12th

• Final payment is due at least 30 days prior to departure
   

Note: Delayed final payments may result in trip cancellation. Vendor deadlines override KulturLux Travel’s policies.

 

Accepted payment methods:

• Zelle: kulturluxtravel@gmail.com

• Square: incurs a 3% processing fee (added to your invoice)
   

💳 Final payments are non-negotiable. No exceptions will be made.

Travel Insurance

​

We require all travelers to purchase travel insurance independently. Cancellations, emergencies, and lost funds must be handled through your chosen insurance provider.

​

Recommended providers:

• Progressive: progressive.com/insurance/travel
   

We can provide documentation if needed for insurance claims.

​

🛡 Frequent travelers may consider an annual policy for broader protection.

​

Refunds & Cancellations

​

We have a strict no-refund policy on all bookings, including deposits, group trips (10+ travelers or villa-style packages), and especially trips within 60 days of departure.

​

All refund claims must be submitted directly to your travel insurance provider. We will provide documentation as requested by the insurance company. 

​

All bookings are also subject to the cancellation and refund policies of our travel partners and vendors.

​

We strongly recommend purchasing comprehensive travel insurance to protect your investment.

 

Flights

​

Flights are included:

​

• For all-inclusive packages

• For groups of 10+ traveling from the same city (when specified)
   

Traveler names and dates of birth must:

​

• Be submitted upon booking

• Match passports exactly

• Be verified before booking
   

Name correction fees are at the vendor’s discretion.

​

If you book your own flights, please email details at least 30 days before departure to arrange transportation.

​

Vacation Support

​

KulturLux Travel, LLC will assist you from booking until your return.

​

We are available for support and will help resolve issues to the best of our ability. However, we are not liable for any injury, loss, or damage during your trip.

​

Please contact your travel insurance provider for claims. We will support you with documentation as needed.

​

Policy Updates

​

These terms are subject to change at any time. Your trip will be governed by the version in effect on the date of booking.
